BOARD /COMMISSION /COMMITTEE RECOMMENDATION: The Cable Commission is
recommending the Council use the PEG access funds collected to upgrade the Cable recording and
output system.
PREVIOUS COUNCIL ACTION: The Council has received the information on the proposed system
including a presentation on some of the equipment.

ADVANTAGES OF NEW SYSTEM
• Enhanced Communication — The system has the capability of allowing the Police Department or
emergency services to attach alerts or bulletins.
• Improve Audio system — The current system requires that all microphones are active during
taping creating feedback. The new system would only activate the microphones that being
activated. While each person would not have control by a switch, the system would take care of
that.
• Increased efficiency of bulletin board and programming. The bulletin board would allow for
updating without being in the cable booth and has the capability of allowing approved persons
to access and update the bulletin board through the use of a portal with password.
• Off site management of the system. If the Cable Commission becomes aware of problems issues
can be resolved without driving to the City Offices. There will still be times when issues may
have to be resolved by coming to the City Offices.
• Portable — The proposed system is more portable thereby allowing for offsite taping. The
existing sound equipment could be saved for use at the Fire Hall when the City has a large
meeting that needs to be held off site.. Any equipment purchased will be able to be moved in
the event the City changes the Council Chambers or location.
• Master Electrical Plan — the current system has been added on and revamped without
consideration of a master plan. When problems occur it is difficult to troubleshoot where the
problem is located. The proposed system will have a master electrical plan including a paper
schematic. If nothing is done at this time the wiring should be re -done with a schematic plan.
• VHS tapes are a media of the past. The current system tapes on VHS tapes and they are already
difficult to find and are purchased in bulk.
• Upgrade the existing computer system. If the City does not upgrade, the current computer
system has a home version of XP which does not allow for integration to a work network.
Minimally the system should be upgraded so that it could be attached to the City network.
• Camera System will be graded with television cameras, replacing lesser quality security system
cameras currently used. New cameras would be installed for more efficient coverage of the
meeting.

Payment Terms
Payment terms are net 15 days from date of invoice. For orders over $25,000, we require twenty -five percent down at time of order, fifty percent at time of delivery, and twenty -five
