HomeMy WebLinkAbout[12c] Finance Department Report LORI BARTLETT FINANCE DIRECTOR 75 Callaway Street East St Joseph, MN 56374 lbartlett@cityofstjoseph.com FINANCE DEPARTMENT REPORT TO: HONORABLE MAYOR AND CITY COUNCIL DATE: December 16, 2019 SUMMARY The Finance Department has been finalizing the budget, fee schedules and capital plans. The department is also finishing up the following licenses: refuse hauler, liquor licensing, amusement permits. Open gym has been busy some nights, few visitors on Saturdays. Some families are requesting volleyball equipment and a local Cub Scout pack held a meeting during open gym. Staff collecting payroll forms to set up 2020 deductions. Lori provided Kris with wage and benefit negotiation information. Working with Public Works to update the water meter reading equipment and reconciling water/sewer usage with the billing system. Vehicle maintenance and repair costs tracking system set up. Safety training tracking updated. Cable Access and Marquee signs updated regularly with upcoming events. Setting up cell phones on FirstNet system – transfer from Verizon. DEED housing grant tracking and BDPI grant reimbursements requested. Finance met with CSB/SJU accounting students to a class project to review internal controls. The students provided a thorough and good feedback. A wonderful collaboration with the Colleges. STAFF Meet bi-weekly with staff to go over current and upcoming tasks and discuss any issues that have come th up. Hannah, Finance Tech, started on November 20 and has hit the ground running. She comes from the City of Rogers where she worked as their accountant for five years. Some vacation days scheduled over the holidays. UPCOMING MEETINGS & EVENTS Staff is preparing for year-end reporting and starting to prep for the March audit. Tentative audit dates th are as follows: February 6 preliminary, March 16-20 regular field work. The Nov/Dec utility bills will be mailed in early January along with the city newsletter. Park scheduling for 2020 opens the first business day in January. This is always a busy time for us. Residents are eager to book their graduation, wedding, reunions and holiday gatherings for the dates they want. The peak dates book quickly. Finance will assist with upcoming elections and working on tasking. Open gym and warming house schedules for Jan/Feb are being prepared. Finance is assisting with finding staff for the warming house. -LORI
