The plotter is five generations behind current versions and not as functional any longer. The ink cartridges need replacing at a cost of $85 per cartridge. Staff currently receives all printed maps via S.E.H. and does not have the need to print them in our office. The cost to upgrade the plotter and replace the ink cartridges will cost more than the map printing S.E.H. does for the City. Staff is requesting declaring as surplus and will post on GovOffice auction site for sale with a minimum value of $2,700 (estimated current value). In addition, Shift Technologies upgraded the computer systems on Windows 7 to Windows 10. Windows 7 is no longer supported by Microsoft. A few of the computers are over five years old and will cost more to upgrade versus the remaining useful life. The computers have reached their useful lives and were replaced. The old harddrives will be destroyed and the CPU recycled. With the 2020 equipment certificates, the 1997 street sweeper will be replaced with a 2020 Elgin Sweeper. The 1997 sweeper has seen its better days and lived its extended useful life. Staff will request a quote to trade the old sweeper. Public Works also requests trading in the walk behind mower for a zero turn model per the five-year capital plan. Staff will review quotes for the trade in value. Staff estimated $7,000 in the five-year capital plan. BUDGET/FISCAL IMPACT: Minimal $2,700 bid for the plotter, $20k sweeper trade in, $7,000 mower trade in ATTACHMENTS: Request for Council Action – Surplus Property REQUESTED COUNCIL ACTION: Declare the HP plotter, 1997 street sweeper and JD walk behind mower as surplus and sell or trade in for the best available value. Dispose of the old CPU’s per City’s policies.
