TP reviewed adjustments to the site plan and floor plan. �.� - a. 3ft island separating the west alley from the parking lot. �; p = b. Shortening of island to allow access to the trash enclosure. ;. i. Judy will confirm with St. Joe Meats the feasibility of a shared trash � = enclosure to be located on the SJM property. This would allow us � to pick up several parking stalls. r c. Adjusting building location to incorporate landscape area between building F `y' and west parking/sidewalk. , d. Elimination of the retaining wall on the north and east sides of the site, and s `� �x potential for extending building exterior finishes to below finished floor (since grades will likely be 1 to 3 feet lower than finished floor). � ` e. Shifting PD garage to north to allow better access to the sallyport west doors. � f. Eiimination of the north lobby entrance and redesign of the kitchen area. r g. Elimination of the lobby clerestory, and introduction of skylights to provide � natural light. � � h. Adjusting the Ciry Hall open office area to allow for future open office cubicles. � } i. Adjustments to the PD garage/Evidence/Mechanical/Electrical. 2. Noted there are power poles along the south side of the south alley that encroach into the alley ROW, reducing the alley drivable width. Allowing for the alley to `, encroach onto the Ciry's property will allow the alley be driven as a 20ft wide drive. S 3. The CATV pedestal on the SW corner of the site will need to be relocated. z 4. Discussed widening the landscaping south of the PD garage and relocating the transformer, and shifting the standby generator connection to the exterior wall of the mechanical room (placing the roll-up generator in an adjacent parking stall. 5. Confirmed the project budget should be as stated by the City Council ... $4.5M. 6. Reviewed the updated Cost Estimate Recap prepared by RAM, with construction cost of $3.9M and project cost of $4.7M. Updated costs reflect the following adjustments: a. 18,335sf single story building. b. 9 month construction period. c. SACIWAC allowance by Owner. Judy confirmed this cost is$0. ��:� ������� d. Building permit allowance by Owner. Judy confirmed this cost is$0. ���� e. Builder's risk allowance by Owner. Reviewed list of 20 additional adjustments as indicated in the Cost Savings Items x� ? list(attached). The committee suggested accepting the following adjustments: a. Item 1 -Eliminate skylights($62K). b. Item 2-Eliminate south sallyport($77K). �� � c. Item 5-Change interior window frames to painted HM($48K). �., d. ltem 12/13- Reduce level of finishes along south side of PD garage($23K �� � � ��� to$75K). ° ` e. Item 16 - At east and west elevations, change "storefront" look to match k,, ,.:"r��, _-. � , adjacent exterior wall finishes($49K). f. Item 18 - Judy indicates her discussions with her technology consultant ; could be reduced($50K) � g. With a total savings of$264K, plus adjustments to percentage line items, � � the adjusted Project cost is likely reduced from $4.71 M to$4.42M. f � 8. The operable partition in the community room needs to be installed, and the I kitchen needs to be finished. t t�� ` ; ` � ; 9. The City will pursue a renting a roll-up standby generator, rather than a � permanently placed generator. HMA/RAM to clarify costs associated with building- ' wide power(life safety plus equipment plus system, etc.)vs. limited system power � (life safety plus limited equipment). E � 10. Discussed potential of configuring the garage as a sallyport and eliminating both � sallyport stalls, and redesign of the secure corridor and evidence areas. But, the � preference is to retain at least one sallyport stall. � . � ` 11. Discussed probability of needing wiring 24 doors on the access control system. � 12. Agreed the building will include a central water heater(rather than area-specific on- ` demand water heaters)with a recirculating line to provide"instanY'hot water. � 13. A water softener should be provided for the building. If feasible, discussed � providing a single hard cold water line(perhaps in the break room?). i �'- , 14. It is likely the Fire Hall will become the City's command center for emergency operations. 15. Discussed variances required for the project including reducing the north setback �n=, : = from 10ft to 5ft and reducing the quantity of parking stalls. These will be pursued in January. � 16. Discussed scheduling of follow-up meetings: a. Judy will confirm with the committee the potential of ineeting November 25 or 26 to review updated costs and plans. b. The council will have a working session on November 26 at 5:30. It was recommended the updated information be reviewed with the council at this meeting. c. The council will have a regularly scheduled meeting on December 5 to approve the current scope and costs with direction to proceed. Documents to be submitted include site and floor plans, exterior images, and updated costs. This information should be submitted to Judy by December 2.
